Calculate meeting cost

Use an average hourly labor cost for the people attending. This is a planning estimate, not an accounting valuation.

Estimated total meeting cost
$360.00
Cost per minute$8.00
Cost per attendee$45.00
Total people-hours6.00
Attendees8

Formula

Total meeting cost = attendees × average hourly cost × meeting duration in hours.

Best for

Team meetings, recurring status calls, planning sessions, workshops, and quick comparisons between shorter and longer meeting formats.

Not included

Travel, software, facilities, preparation time, follow-up work, opportunity cost, taxes, benefits, or indirect overhead unless you include them in the hourly cost.

How the Meeting Cost Calculator Works

The Meeting Cost Calculator converts everyone’s time into a simple cost estimate. Enter how many people are attending, the average hourly cost of those attendees, and the meeting duration. The calculator multiplies those values to estimate the direct labor cost of the meeting.

Meeting cost formula

Total meeting cost = Number of attendees × Average hourly cost × Meeting duration in hours. Cost per minute is the combined hourly cost of all attendees divided by 60. Cost per attendee is the average hourly cost multiplied by the meeting duration in hours.

Example

Eight attendees × $60 average hourly cost × 45 minutes gives an estimated meeting cost of $360. That equals $8 per minute, $45 per attendee, and 6 total people-hours.

What hourly cost should you use?

For a quick estimate, use the average hourly wage or hourly compensation cost for the people in the meeting. If you want a broader business-cost estimate, you can use a loaded hourly cost that already includes benefits or employer overhead. The calculator itself does not add those items automatically.

If you only know annual salary, the Salary to Hourly Calculator can help you estimate an hourly figure before using this tool.

Why calculate meeting cost?

Meeting cost is not a verdict on whether a meeting is worthwhile. It is a planning signal. A high-cost meeting can still be valuable when it resolves an important decision, prevents expensive mistakes, or coordinates work that would otherwise take longer. The estimate is most useful when comparing meeting length, attendee count, or recurring cadence.

Important limitations

This calculator estimates direct time cost only. It does not measure the value created by a meeting, the quality of decisions, preparation and follow-up time, or the opportunity cost of interrupted work. Results depend entirely on the hourly cost you enter.

Frequently asked questions

Does meeting cost mean salary cost?

Not necessarily. You decide what the hourly cost represents. It can be base wage, estimated compensation, or a broader loaded labor cost.

Should I include the organizer in the attendee count?

Yes, if the organizer is participating in the meeting and you want their time included in the estimate.

Can I use this for recurring meetings?

Yes. Calculate one meeting first, then multiply the result by the number of meetings in a month or year. A future version may add recurring-frequency inputs directly.

Is a more expensive meeting always worse?

No. Cost and value are different. The calculator estimates time cost so you can make a more informed decision about attendance and duration.

If the issue is repeated lost time across many workdays rather than one specific meeting, use the Productivity Cost Calculator to estimate the broader direct labor-time cost.

If meeting load is affecting focus or work rhythm, the Productivity Style Quiz can add a reflective view of how you naturally work.
