How the Billable Hours Calculator Works

Start with the total number of hours you work in a normal week, then subtract time spent on non-billable work such as sales, admin, invoicing, marketing, training, and internal planning. The remaining hours are your estimated billable hours.

The calculator also turns that number into a utilization percentage, annual billable hours, and estimated annual billable revenue at the hourly rate you enter.

Example

If you work 40 hours per week and spend 12 hours on non-billable tasks, you have 28 billable hours. That is a 70% billable utilization rate. Across 48 working weeks, that becomes 1,344 billable hours. At $75 per hour, the corresponding gross billable revenue estimate is $100,800.

What counts as non-billable time?

Non-billable time often includes prospecting, proposals, scheduling, bookkeeping, client acquisition, internal communication, learning, and other work that supports the business but is not directly invoiced to a client.

Why billable utilization matters

A freelancer can work a full week without being able to invoice every hour. Tracking utilization helps connect your available work time with your pricing and revenue goals. If your billable percentage is lower than expected, a higher sustainable hourly rate may be needed to support the same income target.

Important limitations

This calculator estimates capacity and gross billable revenue. It does not predict how many hours you will actually sell or collect payment for. Real revenue may be lower because of unused capacity, scope changes, discounts, unpaid invoices, platform fees, or other business costs.

FAQ

What is a billable hour?

A billable hour is time you can directly charge to a client under your pricing agreement.

What is billable utilization?

Billable utilization is the percentage of your total working time that is billable. For example, 28 billable hours out of a 40-hour week is 70% utilization.

Should all of my work hours be billable?

Usually not. Independent professionals often need non-billable time for sales, admin, finance, marketing, planning, and professional development.

Is estimated billable revenue the same as income?

No. It is gross billable revenue based on the hours and hourly rate you enter. It does not subtract business expenses, taxes, fees, or unpaid time.
